A product of Exhale Staffing

The clock is
already in
their pocket.

No terminal on the wall. No sheet on a clipboard. Staff clock in and out on their own phone, a geofence confirms they were where they said, mileage records itself on the way home, and the week’s timesheet reaches payroll in one click.

Sold on its own. Part of Exhale HR if you want the rest.

What it does

Proof, not paperwork

Every feature here exists to answer one question an inspector, a client or a payroll clerk might ask: can you show me that this happened?

Clocking in

Their own phone. One tap. No hardware.

Staff clock in and out on their own phone at the door. A geofence around each site means the tap only counts inside the radius, and the app checks they are still on site during the shift, so nobody has to ask.

  • Works with no signal, uploads the real time later
  • Breaks and split shifts, one tap each
  • QR code option for shared sites
The real Exhale app, clocked in, the shift recording

Mileage

It starts and ends by itself, photo attached.

Tap start mileage, type the odometer reading, photograph the dial. The journey runs until you tap stop and lands on the timesheet next to the hours. Payroll pays it at your rate; nobody adds anything up.

  • Odometer photo on every claim
  • Between-client journeys recorded as they happen
  • HMRC-ready records: date, start, end, miles
The real mileage screen with the odometer photo attached

The office

Who is where, as it happens.

The live map shows who is on site, who is travelling and who is outside their radius, with the two things that need you at the top. On Friday the live timesheet is already counted: check it, approve it, send it to payroll.

  • Attention list, not a spreadsheet
  • Presence checks logged automatically
  • One click from the week to payroll

Breaks and honest mistakes

One tap for a break. A second thought before a wrong clock-out.

A break is recorded against the shift and stopped with one tap. Clock out less than two minutes after clocking in and the app asks whether you meant it, because a mis-tap should not cost anyone hours. The shift keeps recording while the phone is in a pocket.

  • Start break, stop break, on the same screen
  • A wrong clock-out is caught before it counts
  • Weekly timesheet submitted from the phone, compared with the recorded hours

A shift, end to end

Nothing to fill in, at either end

The person on the round taps four times in a day. The office types nothing at all.

Watch a full shift

Arrives on site

Taps clock in. The geofence confirms the location and the shift opens.

Takes a break

One tap. The break is timed for them and taken off the paid hours.

Finishes

Taps clock out. The day closes with a signed record of what happened.

Drives home

Mileage starts and ends by itself. The route is on the map.

Payday

The office approves the week. The timesheet goes to payroll as it is.

Once the hours are right, what is left?

Time & Attendance proves the shift happened. These are the next three things it usually uncovers — all made by us, all sold separately.

The file behind the shift

Know they turned up, but not whether their DBS is in date?

Attendance without the paperwork behind it only answers half the question. Exhale HR holds the person: their documents, their expiry dates, their overtime and their TOIL.

See Exhale HR →
  • One onboarding link instead of a chase
  • Every document with a live expiry date
  • Overtime and TOIL that add up correctly
  • One inbox for approvals, with a link to the thing

Running a care service

Have a care service, but nothing proper to run it on?

The same verified clock in that pays someone can be the evidence that the call was made. Care Solution turns that one event into the care record as well.

See Exhale Care Solution →
  • Rounds, care notes and medication in one file
  • Visits verified by location, ready for inspection
  • A family portal you control
  • Reports produced from the record, not from memory

Keeping people qualified

Rota compliant today, but what about in three months?

Refreshers expire quietly. Train through KCP and the completion arrives as dated evidence against the person, so the rota knows before you do.

See KCP Training Centre →
  • Accredited qualifications and over 1,000 CPD courses
  • Oliver McGowan Tier 1 and Tier 2
  • Learner, assessor and IQA sign-in areas
  • Study online, around the shifts already booked

The company behind all four

Short of people this week, not just short of software?

Exhale Staffing builds these products and staffs the services that use them. If the real problem is that you are two carers down on Thursday, that is the same phone call.

In a manager's words

"Everybody clocks in and out on their own phone. No chasing anybody. No paperwork at all."

A geofence around each site, and the app checks they are still there by itself. Hours recorded automatically, and the week already counted on Friday. Twenty-two seconds from a manager who runs it.

See it working

One carer's day, from clocking in to getting paid

Forty seconds, filmed on the real app and the real office screens. Nothing mocked up, nothing sped up.

Questions we get asked

Straight answers

No. Staff clock in on their own phone. There is no hardware to buy, install or replace, and nothing on a wall to break.

The clock in is stored on the phone, signed, and uploaded the moment a signal comes back. The time recorded is the time they pressed it, not the time it uploaded. Read the full guide →

Every clock in is checked against a radius around the work location, and the app runs its own presence check while the shift is open. It is automatic — nobody is asked to verify anybody.

Yes. Mileage starts when they leave and ends when they arrive, with the route recorded. The distance goes onto the week’s claim without anyone writing it down.

Yes. It is sold separately and runs on its own. If you also use Exhale HR, the hours land there with nothing retyped.

They are supported properly. A session can run for days or weeks. There is no cap that quietly closes a shift and leaves you correcting it later.
